Maintenance Stock Controller

Role purpose:

The purpose of this role is to coordinate and facilitate stock issue and receipt and to supervise the accurate and complete stock system updating and data collection.  In addition, this role is responsible for completing stock reporting and resolving of stock discrepancies and issues.

Essential Competence

Stock Planning and Reporting

  • To develop the stock supply and demand plan monthly in line with the maintenance plan, property development plans and supply chain targets by evaluating plans and targets, reviewing historical data and trends, gathering inputs, developing plan and submitting for review, amendment and approval by the monthly deadline as required
  • To report on stock levels by gathering required data from storeroom, maintenance order allocations and stock issued but not utilised as yet, reconciling, collating and reporting on data, trends and insights in defined template by deadline as per deadline
  • To recommend stock utilisation plans by identifying stock not being utilised, developing plan to utilise or write off and submitting for approval as and when identified
  • To provide input into demand planning by analysing stock trends, identifying key factors, reporting on findings and providing input and recommendations as required
  • To recommend bulk stock purchasing by identifying high utilisation products, gathering utilisation data, developing bulk purchase plan and submitting for review and approval as and when identified. 

Stock Level Management

  • To manage supply vs. demand of stock by tracking stock levels of all items, monitoring stock levels, identifying stock at minimal stock levels and placing order to procure so that stock is available on demand at all times
  • To implement a system that secures accurate stock data from the system, the stock that has been issued but not utilised and stock utilised and allocated for recovery from resident account or building budget by developing stock templates, developing stock counting schedules, building influential and impactful relationships with maintenance team and implementing accurate stock data collection   at all times and as scheduled
  • To coordinate stock levels between multiple storerooms by tracking stock levels, placing purchase orders and managing availability of stock at all times
  • To manage stock levels by monitoring stock, stock turn, stock ins, stock outs and write offs, identifying challenges and managing implementation of corrective action monthly
  • To control stock by conducting and verifying the stock counts, identifying issues, ordering new stock and addressing any shortages weekly and monthly as per stock count roster
  • To update stock management system at all times by gathering data and information, capturing, resolving system issues and errors and coordinating that stock information and system is maintained at required levels at all times

Stores and Stock Management

  • To coordinate stock packing to meet health and safety and JHC stock management standards by understanding requirements, developing stock packing standards, implementing and managing compliance at least monthly
  • To monitor receipt and issuing of stock by reviewing requests received, validating stock issued and received, identifying anomalies and implementing corrective action weekly and as required
  • To complete and coordinate stocktakes by developing stocktake templates, coordinating and conducting stock counts, capturing data and resolving errors as scheduled and within deadlines
  • To manage stock security by identifying potential stock risk areas, developing recommendations to resolve stock risks and implementing when approved and within agreed deadline
  • To resolve stores and stock queries and discrepancies by gathering data, investigating, resolving and providing feedback within deadline 
Role requirements:

Qualifications and Experience

  • NQF 5 in Stock Control or similar.
  • A minimum of 3 years stock control experience is required
  • Stakeholder engagement and influencing is required
  • Computer literacy in MS Office is required
