Maintenance and Quality Assurance Manager
Role purpose:
To manage maintenance quality assurance, small works projects, building compliance audits and to diagnose and advise on complex maintenance issues in buildings.

Maintenance Quality Assurance
- To review quality of maintenance work by conducting site visits, reviewing work undertaken, identifying quality concerns, raising concerns with relevant people and monitoring corrective action weekly and as required
- To identify maintenance improvements by reviewing efficiencies of asset operation and maintenance processes, developing improvements, engaging with maintenance team, implementing improvements and monitoring performance changes as required
- To resolve supplier performance issues by tracking and collating performance information and addressing performance concerns and implementing corrective action including recommending terminating contracts as required
- To maintain relationships with suppliers by providing feedback on performance, reviewing pricing and contracting schedules, resolving queries, and engaging as required
Maintenance Project Management
- To manage maintenance project delivery by developing plans in line with agreed deliverables and timeframes in the approved project management framework, monitoring progress and feedback, identifying areas of concern, delay and risk, implementing corrective action and monitoring implementation weekly and as required
- To identify and resolve project delivery risks by identifying areas of concern, assessing the risk and solution in line with defined solutions, problem solving and proposing solutions for unique problems and implementing approved solutions as required
- To manage project administration by reviewing and approving project files, notes, and delivery progress reports in line with project plan, identifying areas of concern, monitoring implementation of corrective action, managing delivery in line with agreed actions and providing feedback and reports weekly and as required.
- To prepare for project completion reviews by confirming dates, providing documentation, attending, and addressing any items on the handover report within the defined deadlines
- To handover projects by managing the commissioning and testing, managing the development and quality of technical manuals, managing that training is provided (if required), securing sign off and providing documentation for internal purposes as required
Building Compliance Audits and Occupational Health and Safety
- To develop a building compliance calendar by detailing the compliance requirements per buildings, tracking the renewal dates and maintaining the calendar monthly and as required
- To conduct building compliance audits by understanding the audit requirements, reviewing building compliances, identify areas that require amendments and implementing corrective action quarterly and as required
- To coordinate building compliance updates by liaising with service providers, confirming compliance assessments and maintenance is conducted and securing compliance certificates monthly and as required
- To address occupational health and safety issues by conducting audits of the buildings, identifying health and safety risks, recommending and managing implementation of corrective action quarterly and as required
- To participate in the organisational health and safety committee by providing input, making recommendations and managing implementation of decisions related to health and safety in the buildings as required
Building Support Equipment Management
- To participate in handover of building support equipment into properties by participating in meetings/training, gathering required technical information, signing off on equipment installation and handover and submitting maintenance and warrantee requirements before commissioning as required
- To monitor implementation of scheduled maintenance/servicing in line with standards and service level agreements by receiving notification of work completed, verifying quality of workmanship, identifying areas of concern, engaging with service providers and managing implementation of corrective action within deadline.
- To resolve recurring faults/maintenance issues by diagnosing trends and causes, conducting investigations, implementing corrective action and resolving within deadline
- To achieve building support equipment availability targets by monitoring availability, evaluating equipment condition and functionality, and proactively resolving issues monthly and as required
- To resolve high risk equipment failures (e.g., lifts) by evaluating impact of failure, developing plan of action, engaging with service providers and managing implementation of solutions within service provider service level agreements
Vehicle Fleet Management
To manage the condition and roadworthiness of the maintenance vehicles by:
- Analyzing weekly reports received from the technical team and address anomalies as required.
- Manage the servicing and maintenance of the vehicles as required.
- Manage the licensing of the vehicles by compiling documents, arranging for payment, receive and display license discs on vehicle annually.
- Manage utilisation of the vehicles by monitoring them on vehicle tracking system, evaluating reports and address anomalies as required.
- Manage fuel spent by receiving and analyzing fuel receipts received from technical team, reporting on expenditure, and addressing anomalies monthly.
Staff Management
- To manage the in-house on demand technical team delivery to support the strategic priorities by developing team priorities, aligning with the strategy, and managing delivery on an ongoing basis.
- To support the appointment of new staff by developing job specifications, shortlisting and interviewing candidates and appointing staff as required
- To manage the induction of new staff by developing and implementing staff induction programmes, agreeing probation contracts and monitoring performance and addressing non-performance during probation as required
- To manage staff performance by setting performance expectations, building relationship with staff, providing feedback on performance and managing non-performance monthly and as required
- To develop staff by identifying skills development opportunities, enabling learning and monitoring development of competencies monthly and as required
- To manage implementation of HR policies and procedures by addressing areas of non-compliance and implementing corrective action as required
- To manage staff PPE, tools and equipment by receiving weekly condition reports from technical team and conducting monthly condition audits.
Role requirements:
Qualifications and Experience
- Qualified artisan in electrical, fitting and turning, millwrighting or similar is required
- Extensive experience in technical maintenance and management will be considered in the absence of a relevant qualification
- 5 – 7 years technical maintenance and / or construction management experience is required
- 2 years’ service provider management experience is required
- Experience working in a residential property environment is preferred
