PROJECT COORDINATOR

ROLE PURPOSE

To provide support to the PMO for planning and managing of Long Term Maintenance Plan, assist with the development and delivery of new units and technical support in the maintenance of JHC stock.

Key Performance Areas

Activities

Technical Support

  • To assist with the quality assurance of extraordinary maintenance work that is undertaken by conducting building visits, advising the building management team on proposed solutions and reporting to PMO as required.
  • To assist with identifying problem areas by reviewing the problems, identifying the causes and drafting a plan to solve and improve the situation with property management as required.

Long term / scheduled and preventative maintenance

  • To identify preventative maintenance requirements and special maintenance projects by conducting technical building inspections, identifying maintenance issues and providing feedback and suggestions for projects as required
  • To draft the maintenance activities plan by reviewing the long term maintenance schedule and planning the activities for approval and implementation as required
  • To assist with Implementation of the project plans for approved items as allocated by the PMO as required.
  • To conduct quality assurance of maintenance by conducting inspections on site, identifying quality concerns and providing feedback as required

Unit Refurbishment

  • To coordinate the unit refurbishment by reviewing the snag lists for accuracy, identifying anomalies and confirming the work that must be done, issuing task orders to approved service providers and receiving work programmes monthly
  • To monitor the unit refurbishment progress by tracking progress against the work schedule, conducting site visits and reviewing the quality of work done and provide feedback on progress monthly
  • To coordinate the service provider payments by reviewing invoices against task orders, confirming work completion and recommending authorisation of invoices monthly
  • To administer and report on the unit refurbishment programme by tracking performance against the programme, updating the programme and drafting reports on progress and performance monthly.

Contract Management

  • To compile tender document by following the JHC tender document specification process, inviting and distributing specifications to potential tenderers as required.
  • Prepare appointment letter for professional teams by populating the template as per the agreed scope definition as required.
  • Assist with preparing cash flow forecast based on the approved project plan and budget required.
  • To assist with quality assurance of work undertaken in the construction process by inspecting and monitoring executed work, identifying snag issues and ensuring that it meets the required specifications and quality as required.
  • To assist with pre-handover inspections by conducting site visits to ensure buildings/project meet technical standards prior to handover as required.

Special Projects (Unplanned projects, Makhulong and Head Office)

  • To assist in scoping special projects including quality standards and costs by drafting request for proposal documents and distributing to potential tenderers and implementing approved special projects as per project management methodologies as required

ROLE REQUIREMENTS

Qualifications and Experience

  • A diploma in a relevant field including building science, civil engineering etc. is required
  • A minimum of 2 years’ experience in a construction environment is required
  • Working experience with the JBCC is required
  • Advanced Computer literacy in MS Projects is required
  • Computer literacy in MS Word, Outlook,  Excel and PowerPoint is required
